Microsoft Message ID: MC1068265 – 2025-05-05 | Microsoft Viva Engage: Updated email subscription management

Microsoft 365 Update

💡 Our Technical Review in summary

#### Summary

  • Microsoft is modernizing the Viva Engage email subscription management experience by replacing legacy web pages with a refreshed, accessible, and intuitive interface.
  • The update shifts the management of email preferences from standalone legacy pages to an integrated experience within the Viva Engage web application.
  • This change is tracked under Microsoft 365 Roadmap ID 489829 and is scheduled for rollout between mid-May 2025 and late May 2025.

Impact

  • User Experience: Links for “Unsubscribe” or “Notification Settings” within Viva Engage emails will now redirect users to the modernized settings page in the Viva Engage web app instead of legacy pages.
  • Functional Change: The legacy “Unsubscribe from all” option is being removed. Users will now be required to manage subscriptions or unsubscriptions for individual notification types through the new settings interface.
  • Accessibility: The new workflow is designed to be more accessible and provides a cleaner UI for managing individual email types.
  • Technical Stability: There are no changes to the underlying email delivery engine or backend preference management; this is primarily a front-end UI and workflow update.
  • Legacy Links: While links will automatically redirect, any user-bookmarked legacy unsubscribe URLs may become obsolete and should be updated.

Action Required

  • Review Documentation: Examine the new notification settings page in the Viva Engage web application once available to understand the updated user flow.
  • Update Internal Resources: Update internal IT knowledge base articles, help desk manuals, and user training materials to reflect the removal of the “Unsubscribe from all” option and the new per-category management system.
  • User Communication: Inform users—particularly those who heavily use Viva Engage notifications—that they will now have more granular control over their emails but will no longer have a single-click “global unsubscribe” button.
  • Bookmark Maintenance: Advise users to remove or update any saved bookmarks pointing to legacy Viva Engage email preference pages.

Coming soon for Microsoft Viva Engage: We will modernize email subscription management to deliver a more intuitive, user-friendly experience. Before this rollout, unsubscribe and notification links in in Viva Engage emails opened legacy web pages with limited functionality. After this rollout, those links will take users to refreshed pages where they can more easily manage their preferences. Users will be able to unsubscribe from or resubscribe to individual email types in a cleaner, more accessible workflow.

This message is associated with Microsoft 365 Roadmap ID 489829.

[When this will happen:]

General Availability (Worldwide): We will begin rolling out mid-May 2025 and expect to complete by late May 2025.

[How this will affect your organization:]

After this rollout, no admin actions are required. Users will experience these changes:

  • Users who select notification links in Viva Engage emails will be taken to the modernized notification settings page in Viva Engage for the web, instead of being taken to legacy pages.
  • We will remove the legacy Unsubscribe from all option. Users must now subscribe or unsubscribe to individual notification types on the new settings page.

This rollout does not change the underlying email delivery or preference management functionality.

Users who have bookmarked old unsubscribe URLs should remove or update those links.

The Unsubscribe link in a Viva Engage notification email:
